CLASS EXERCISE POLICY
Group exercise classes at XENO FIT are included as a benefit to XENO FIT members. Everyone must complete a participation waiver on the spot before attending any class. This only has to be completed once.
We request participants arrive at least 10 minutes before the start of class for ample time to check in and secure a spot in their desired class time, receive your health screening, setup your equipment, and be prepared when class begins.
Since group size is limited, pre-reservations are recommended for all classes via XENO FIT WhatsApp or direct registration a minimum of 1 hour before the class starts time.
Our specialty classes in our studio, including Yoga & Pilates, are capped at 14 members respectively. If you are unable to enroll prior to the cap then your name will be added to a waitlist. If you are on the waitlist you will need to wait until a spot opens to attend the class. Our team will notify you directly if space becomes available.
Please Note: Once you arrive at the class you will still need to check in a tour receptionist to change your status from enrolled to checked in for that specific class. Enrolling in the class is not the same as checking in to class.
ENROLLMENT CANCELLATION
All members can cancel their enrollment no later than one [1] hour prior to class start. Please be sure to cancel in a timely manner to allow members on the waitlist to attend and to avoid any cancellation fees. This is particularly important for our specialty classes that are limited in class size and often have a waitlist.
MINIMUM ATTENDANCE
We do not have a minimum attendance for our specialty classes. The class will be started even if fewer than 4 members. Group exercise class participants must be a minimum of 13 years old.
LATE POLICY
Members who are allowed to join the class late will be given an alternate warm-up to be completed immediately so as not to further delay the class. This policy is meant to ensure that classes run on schedule and in a safe manner. We value your safety as well as our member’s and coaches’ time, and we ask that all of our members respect this policy and make every effort to arrive on time, if not early for class. Additionally, if a member is consistently late to class and it appears they are abusing the late policy, you will be asked to attend the next available class of the day.

MEMBERSHIP PACKAGES
XENO FIT offers two exclusive membership packages: Gold and Platinum. Each package includes a monthly membership and a specified number of physiotherapy sessions.
1. PAYMENT TERMS: All membership fees are payable in Indonesian Rupiah (IDR) and are non-refundable. Payment can be made through the accepted payment methods as specified by XENO FIT.
2. MEMBERSHIP DURATION: The membership is valid for one month from the date of payment. Renewal is required to continue the membership benefits.
3. PHYSIOTHERAPY SESSIONS:
Unused physiotherapy sessions do not carry over to the following month.
4. SCHEDULING PHYSIOTHERAPY SESSIONS: Members must schedule physiotherapy sessions in advance and are subject to availability. Failure to attend a scheduled session without prior notice may result in the forfeiture of that session.
5. MEMBERSHIP TERMINATION: XENO FIT reserves the right to terminate or suspend a membership if a member violates the facility rules, engages in inappropriate behavior, or fails to comply with these terms and conditions.
6. AMENDMENTS TO TERMS AND CONDITIONS: XENO FIT may modify these terms and conditions at any time. Members will be notified of any changes, and continued use of the membership constitutes acceptance of the updated terms.
7. DISCLAIMER: Members acknowledge that participating in physical activities and physiotherapy sessions involve inherent risks. XENO FIT is not liable for any injuries or health issues arising from the use of the facilities or participation in activities. By purchasing a XENO FIT membership, members agree to abide by these terms and conditions. XENO FIT reserves the right to refuse or revoke membership at its discretion.
RENEWAL POLICY
The monthly memberships will not renew automatically on the same payment terms and billing cycle. A new subscription plan needs to be created in order to continue the membership.
MEMBERSHIP CANCELLATION & REFUNDS
All plans and memberships of XENO FIT can be canceled at any time, but XENO FIT will not provide refunds for any cancellation requests. All cancellation requests must be submitted via our Cancellation Request Form. Please do not send cancellation messages to our Facebook page or other social media sites.
MEMBERSHIP UPGRADES AND DOWNGRADES
It is not possible for all members to downgrade their membership plan. However, memberships can be upgraded by adjusting the new rate based on the number of days remaining in their current billing cycle. If a member wishes to downgrade and then upgrade their membership plan, they must wait until the next monthly bill date for the new plan to take effect.
Please note that membership upgrades can only be processed through the receptionist. An upgrade cannot be made retroactively. Only 1x Membership upgrade is allowed.
MEMBERSHIP HOLDS AND ACCOUNT FREEZES
You may put your membership on freeze or hold. Member freezes are only available for “3-Months, 6-Months, and 12-Months Membership” types.
Only one membership freeze is available per membership period. For a 3-month membership, 15 (fifteen) days are available per membership period; for a 6-month membership, a 30 (thirty) days freeze period is available, and for a 12-month membership, a 60 (sixty) days freeze period is available.
Member must inform XENO FIT receptionist team and must fill our Membership Hold Request Form 7 days before your freeze/hold request date. All payments drawn prior to the requested hold will not be refunded.
You will not be billed for frozen months. You cannot cancel your membership during the hold or freeze period, otherwise, your membership shall remain active.
If you forget to request a member freeze, your membership freeze will begin when your contact XENO FIT reception and is approved, given it is before the expiry date. If you are away for longer than 60 days on a monthly membership, existing membership will cease, and new members must be acquired.
XENO FIT prides itself on being a kid and dog-friendly gym. But in the interest of keeping everyone as safe and focused on their fitness as possible, we ask that you adhere to these policies regarding children and our four-legged friends. All children need to be able to sit unattended at the front of the gym. If they require supervision, please have a responsible adult in attendance to supervise them. Our staffs are not responsible for your children or your pets. If your child is screaming please attend to them. Children are not allowed to enter the fitness area or touch any equipment at any time. This goes for our furry friends as well. Please ensure your children do not go behind our front desk and fitness facilities at any time. Please clean up after your children including any snacks they may want to enjoy during the class. We pride ourselves on keeping a clean and rodent/pest-free environment for our members. It is also not our staff’s responsibility to clean up smashed grapes or other food items.
Dogs that bark, whine, jump, or bite are not allowed at the gym. Dogs must be on a leash at all times. We reserve the right to ask you to remove a disruptive dog at any time. Our staff is not responsible for your dog or any messes they make.
The participant with any injury or physical limitations needs to inform the coach immediately.
We reserve the right to scale or stop your training session if it is deemed unsafe. This particularly applies to Open Gym.
XENO FIT reserves the right to refuse service to anyone for any reason. We reserve the right to cancel your membership at any time for any reason. If your membership is terminated by XENO FIT for any reason; we will refund the balance or remainder of any prepaid, unused membership.
UNEXPECTED EVENTS
We are not responsible if members cannot use our XENO FIT area because of an event caused by a natural force (such as a fire or a flood) or a road or building closure or something similar beyond our reasonable control. If this continues for more than 30 days, then either you or we may cancel this Agreement immediately by written notice. No Fee will apply.
YOUR RESPONSIBILITY FOR THE DAMAGE
You agree to pay for any loss or damage to the XENO FIT Facilities and Services caused by you or your guests through a wilful, wrongful, or negligent act or as a result of your, or their, breach of this Agreement.
XENO FIT seeks, enrolls, and maintains memberships without regard to race, religious creed, color, national origin, ancestry, physical disability, marital status, sex, sexual orientation, or age. It is further XENO FIT policy that no circumstance or conduct undertaken by XENO FIT personnel shall have the effect of discrimination on the basis of any of the aforementioned classifications. All XENO FIT members shall have full and equal access to the XENO FIT facility. All members with disabilities shall be entitled to reasonable accommodations for their physical and mental impairments. Any member who believes that they have been/are being treated unfairly on any of the aforementioned matters should first report to club management or to the XENO FIT WhatsApp number.
As set forth in XENO FIT's Equal Opportunity Policy, all members shall have full and equal access to the club facility. Consistent with this Policy, all members shall have access to the restroom and locker room facilities that correspond to your's gender identity, regardless of your's sex assigned at birth. For example, transgender women (who were born male but identify as female) are permitted to use the women's facilities, and vice versa for transgender men. Each member should determine the most appropriate option for her/him/themself. Any member who has a need or desire for increased privacy, regardless of the reason, will be provided access to a single-person facility, when available. No member, however, shall be required to use such a facility. Any member who believes they have been/are being treated unfairly on any of the Equal Opportunity Policies above should report to the club management.

CONSENT TO USE YOUR IMAGE
You understand that photos, films, videos, or audio recordings are sometimes taken of members for promotional purposes. Your permission will first be obtained if this is done. By signing this Agreement, you agree to allow your image, recording or likeness to be used for any legitimate purpose by XENO FIT and you assign your rights to any of these materials.
UP-TO-DATE CONTACT INFORMATION
You must tell us promptly if you change your contact or payment details or if there is a change to other relevant personal information, including anything that may affect your health or safety.
OTHERS
CCTV camera recording is used in XENO FIT (except in bathrooms).
You and your minor children must follow any such Rules or Policies and pay any applicable fees. To join, all minors need the financial guarantee of a parent or guardian and the parent or guardian must sign your ship agreement.
Minors Under 12: May not use XENO FIT facilities at any time and must be accompanied by a parent or guardian at all times when in the facilities, unless the minor is registered to participate in a XENO FIT-approved youth program. If your minor child does not behave, XENO FIT may ask you to make other arrangements. XENO FIT does not permit children over six years old of the opposite sex in the locker rooms.
Minors 12 - 17: May use XENO FIT facilities without being accompanied by a parent or guardian if the minor is a member or a guest and their parent or guardian signed the financial guarantee and your ship agreement. XENO FIT reserves the right, at its discretion, to require that a parent or guardian accompany a minor.
XENO FIT Fitness provides lockers for members to use only while working out in the gym. You should always use a lock to protect your property. Do not leave any valuable property in a locker at any time. XENO FIT is not responsible for any theft of or damage to your property. If you leave a lock on a locker while you're not in the gym, XENO FIT will consider your property abandoned and has the right to cut off the lock. If you leave your property, XENO FIT shall have the right to donate your property to charity. If you lose the locker keys there will be a fine of IDR 100,000.
The use of steroids to increase strength or growth can cause serious health problems. Steroids can keep teenagers from growing to their full height; they can also cause heart disease, stroke, and damage to liver function. Men and women using steroids may develop fertility problems, personality changes, and acne. Men can also experience premature balding and the development of breast tissue. Civil and criminal penalties exist for the unauthorized sale, use, or exchange of anabolic steroids.
XENO FIT may also have an emergency or crisis response procedure displayed which must be followed in emergencies.
Be cautious
You must be cautious when entering, leaving a XENO FIT, and using the XENO FIT and you must wear security lanyards when appropriate, for example, if exercising alone.
Following Directions
You agree to follow any reasonable direction of XENO FIT staff relating to health, safety, or security matters or related matters.
All members that have already signed up with XENO FIT, must agree to sign the “Waiver and Release of Liability”. For kids and U-18 members, the waiver should be signed by their parents or legal guardian.
XENO FIT is committed to providing a safe and welcoming environment for all members and guests. To promote safety and comfort for all, individuals are asked to act appropriately at all times when in our facility or participating in our programs. We expect persons using the XENO FIT to act maturely, behave responsibly, and respect the rights and dignity of others. Our Members’ Code of Conduct outlines prohibited actions; the actions listed below are not an all-inclusive list of behaviors considered inappropriate in our facilities or programs.
